EMAIL ADVISING may not necessarily be the most effective use of time, but you might consider offering an email appointment if the student is concerned about dedicated access to a phone or wifi for a 30-minute period. Email appointments will suffice in connecting with students during Best Chance Advising if face-to-face, video, and phone appointments are not option. 

Email Advising Tips

Email Advising Tips:

  • Request that the student use their Laker email account.
  • Instruct the student to email you all the questions they were hoping to address during the appointment.
  • To alleviate any potential delay, confirm with the student when you have granted them registration clearance so they may proceed to self-register.
  • Recognize that a student may or may not have control over the external environment they are in at the timing of the email conversation. The student may email you at 2am, but you are not required to respond at that time. Let the student know when you are generally available.
  • Check your email frequently and respond to student emails within 24 hours during the working week. 
  • Use an out-of-office automatic reply if you will be away for an extended period of time. In the reply, provide the student with contact information for an alternate advisor within their advising group. 
  • Refer the student to the AASC Student Resources Blackboard course for self-registration support.
  • Remind the student that they must self-register for classes within 48 hours of the advising appointment. 
  • After the appointment, send one final follow-up email with a recap of what was discussed. 
  • Record advising notes for yourself should the student contact you again.

Be patient. Communication is asynchronous and may be delayed. Urge students to complete the required 'appointment discussion' part of the email exchange as promptly as possible.

It's a good idea to follow-up an email advising appointment with one final email to the student to recap what was discussed, any website links or PDFs that the student should look at, and any additional information that the student should know at that time. 

Thanks for exchanging a few emails with me over the last two days. I am pleased to hear about your how well your semester is going, despite the circumstances. I applaud your decision to take a winter CIS 105 course - that will help advance your degree progress. And the courses you selected for the spring semester also fall in line with your degree requirements for Sport Management. I might suggest you consider retaking that SPC 101 course you previously failed.

I've granted you clearance to register for both winter and spring classes. Please use the Student Portal to self-register within the next 48 hours.
